The challenge
Drivers were submitting fuel and toll receipts via WhatsApp photos and spreadsheets. Reimbursements took three weeks and policy enforcement was effectively nil.
The solution
Drivers snap receipts in the Synced mobile app. The agent extracts the amount, codes to the right Xero tracking category, checks policy (per-diem caps, alcohol rules), and routes for approval. Finance approves in bulk from the review queue.
The outcome
Reimbursements complete in two days. Eleven policy violations were caught automatically last quarter — previously none would have been flagged.
