The challenge
With four studios running, bills were arriving in four different inboxes and approvals were emailed PDFs. Two duplicate invoices slipped through in the previous year.
The solution
Each studio forwards supplier invoices to a single Synced address. The agent extracts, codes to the right QuickBooks class and location, and routes to the studio manager for approval. Duplicates are caught before they reach the queue.
The outcome
Bills are approved in under a day instead of a week. The agent flagged three duplicate invoices in the first month and now runs as the front line of AP controls.
